Job Description

The Office Assistant provides support to the administrative and commercial functions. Moreover, he/she supports general and administrative tasks in the office: attend phone and visits, office supplies, courier, …

 

Main Responsibilities

  • Leading the office management and ensuring a fluent workflow by coordinating the tasks at hand
  • Be the first point of contact for colleagues, customers and service providers 
  • Organize the office comprehensively and coordinate of all trades in facility management incl budget planning, vendor management and purchase of office supplies and consumables for daily use 
  • Basic finance: raising purchase requisitions and ensuring that supplier invoices are forwarded to our Finance team in a timely manner
  • Ensuring the site is compliant with local H&S regulations (working with external consultants to provide necessary knowledge)
  • Manage mobile phones, travel allowances etc. according to the policy
  • Help to promote a fun and inclusive working environment by supporting and arranging social activities/team meetings for the team (foodie days, company events etc.), and communications
  • Support other Sapiens sites including in Latin America within the scope described above

 

 

Know How

  • You have minimum 10 years experience in office administration/ management 
  • You are able to manage small projects/ teams including task assignment, budget planning and project coordination
  • You enjoy working with people in multinational organization and can adapt to different personalities and cultural differences 
  • You maintain an overview in times of high workload and have the ability to complete various tasks in parallel
  • You are independent, great at finding solution and making decisions independently
  • You have ability to solve problems, coordinate and take ownership for the results
  • You have a good command of written and spoken Spanish and English, Portuguese is a plus
  • You´re an expert in the use of IT tools like Outlook, Excel, Power Point, Teams, etc.
  • Nice to have: Knowledge in H&S (Prevención de Riesgos Laborales)
