About Job: 

We are seeking a proven, high performing administrative professional to fill an Executive Assistant role. This role will support the Leadership Team of the SNAP Business Unit in North America.

The Executive Assistant will support all daily business administrative and coordination responsibilities, including preparation of presentations and reports, arranging meetings, tracking expenses and arranging travel, management of calendar, interfacing with external customers and performing special projects as required.


Job Description:

  • Coordinate materials before meetings and ensure pre-briefs are set up before, when appropriate
  • Proactively identify ways to enable greater productivity and efficiency in role
  • Generate charts, tables, memoranda, reports, correspondence and other materials with speed and accuracy
  • Coordinate domestic/complex international travel arrangements and prepare expense reports
  • Coordinate and host customer visits
  • Calendar Management
  • Capturing and distributing leadership meeting minutes.
  • Participate in leadership meetings to capture, file and distribute meeting minutes.
  • Assist leadership team with organization of file folders.
  • Assist leadership team with managing internal department escalation items.
  • Effective communication with global leadership.
  • Management of business unit memberships.
  • Establish a follow-up system to ensure deadlines are met
  • Coordinate recurring reports

 

Required Skills:

  • Minimum 8+ years of professional administrative experience supporting a senior leader in a large organization
  • Demonstrated proficiency with Microsoft office suite tools (MS Outlook, MS Word, PowerPoint, Excel)
  • Experience with calendar management, meeting scheduling and coordination, planning events, expense reports, and data reports
  • Experience in planning and coordinating complex domestic and international travel
  • Demonstrated experience interacting with senior levels of leadership effectively and professionally
  • Demonstrated excellent verbal and written communications skills
  • Demonstrated ability to prioritize work within a multi-tasking environment and stay on top of task deadlines and due dates
  • Candidate should also demonstrate attention to detail, have the ability to work independently with minimal supervision and adapt to changes in priorities in a fast-paced environment
