Sapiens is on the lookout for an Office Administrator with these personality qualities to join our team in Lithuania.

Worth to mention, it’s a Pet friendly office. Also, and although Office Administrator is the sole role in the country, however it is a part of a wider global admin team and belongs to the global Sapiens Operations Department (along with Procurement, IT etc) within Sapiens Corporate division.

Location: Konstitucijos 21B, Quadrum South office center, Vilnius, Lithuania
Working Model: this is a fully on-site position, based at our Vilnius office. Role doesn’t foresee frequent traveling. 
This position will be part of Sapiens’ Operations/ Corporate division.

What you’ll do:

•    Be the face of the office – Greet visitors and manage the reception area during office hours (9:00–18:00), ensuring everyone feels welcome and supported.
•    Daily office upkeep – Walk through the office each morning to ensure everything is in order, restock kitchen supplies, and manage outgoing or incoming mail and deliveries.
•    Team up with Operations – Collaborate closely with Operations management to improve processes and keep everything running efficiently.
•    Keep us stocked and manage deliveries – Ensure the office is well-supplied with snacks, coffee, stationery, and more, while coordinating regular deliveries and handling any supplier issues. Planning basic budgets,  managing vendors, purchase orders or invoices might be part of your routine.
•    Access and parking management – Handle employee access cards, parking assignments, coordinate with building security when needed
•    Company phones management - work with the vendor to assure phone policy implementation including device replacement, solutions for travellers etc.
•    Health & safety – Monitor and restock first aid kits, ensure hygiene supplies are available, and report any facility issues that affect comfort or safety. Also, Cooperation with Health Safety and Fire Safety partners and supporting implementations of local requirements, including medical checks arrangements.
•    Support your team and foster a great atmosphere – Be the go-to person for colleagues, clients, and service providers, while helping maintain a welcoming, functional, and enjoyable office environment.
•    Help bring events to life – help organize internal or external social or engagement events, order venues, cakes or catering, and ensure everything is set up and cleaned up afterward to bring our team together and celebrate our culture.
•    Coordinate with cleaning staff and landlord – Make sure our workspace stays clean, tidy, fully operational and ready for action.

What to Have for this position:
•    Previous experience in an administrative or organizational role where you’ve helped keep things running smoothly.
•    Strong organizational and problem-solving skills – You’re great at planning, managing your time, multitasking when needed, and working with accuracy. Attention to details is a must.
•    Confident communicator in Lithuanian and English – Since the role involves communication with local vendors and international colleagues, fluency in both languages is a must. Strong communication skills would be a huge advantage.
•    Comfortable with office tools – Confident using MS Office (Word, Excel, PowerPoint, Outlook at a basic level) and internet-based systems for tasks like creating short presentations, writing emails, and communicating clearly with employees.
•    Reliable and supportive – You take full ownership of your tasks and deliver accurate results, while remaining approachable and ready to support your teammates when needed. Can-do attitude.
•    Hands-on and calm under pressure – You’re ready to tackle practical tasks big or small, stay positive when things get busy, and always look for solutions.
